How SiteOptima actually works.

This guide follows the current product behavior: account activation, audit scope, plan limits, Health Score, Portfolio, Watchboard, Monitoring, reports, exports and troubleshooting. Where SiteOptima only provides a reference signal—not automation—the guide says so explicitly.

Getting started

Public access is deliberately gated. Creating an account, verifying email, paying and receiving workspace access are separate steps.

  1. 01Choose Starter, Pro or Agency and create the account with an email you control.
  2. 02Open the verification email. Verification confirms email ownership; it does not activate paid access by itself.
  3. 03Complete Stripe Checkout for the selected plan when activation is offered.
  4. 04Returning from Stripe does not activate the workspace by itself. SiteOptima waits for the signed provider event and persisted subscription evidence.
  5. 05When access is active, sign in and run the first audit to establish a technical baseline.

Account

Email verification, sign in & recovery

Authentication proves who you are. Workspace entitlement is resolved separately from identity, organization and plan state.

  1. 01If a verification link is invalid or expired, use Resend verification to request another one.
  2. 02Use Forgot password when you cannot sign in. Reset links are intended to be short-lived and single-use.
  3. 03A successful password reset invalidates existing sessions.
  4. 04Never send passwords, Stripe secrets, API keys or verification/reset tokens to support.

Plans & current limits

These values reflect SiteOptima's current published plan limits. The plan configuration defines quota values, but does not label the AUDITS quota as monthly in the source, so this guide does not describe it as monthly.

Starter

Includes audit execution, CSV/PDF export, remediation triage, re-audit verification and monitoring preview. Change Intelligence, automation proposal/approval and team access are disabled in the current Starter definition.

Pro & Agency

The current catalog enables all defined product features for both plans; their main difference is quota capacity. All billable plans remain capped at a maximum of 100 pages per audit.

Core workflow

Run an audit

An audit crawls the public site scope you explicitly request and persists observed technical evidence. The guided first-audit screen currently offers 25, 50 or 100 pages and crawl depths 1–4; the recommended first baseline shown in-product is 25 pages at depth 2. Plan limits still apply.

  1. 01Enter the canonical website URL you are authorized to assess.
  2. 02Choose page limit and crawl depth. A requested quantity above the active plan entitlement can be blocked by server-side entitlement checks.
  3. 03QUEUED means the audit is waiting; RUNNING means evidence is being collected. The interface shows discovered, processed and failed page counts.
  4. 04When completed, review the saved audit evidence rather than assuming a missing signal means the site is clean.
  5. 05Run a later comparable audit after remediation if you want to verify change over time.

What is collected

What an audit looks for

The current audit workflow collects technical website evidence first and derives conclusions second. Evidence availability depends on what the site and selected crawl scope actually expose.

  2. 02Canonical and indexability signals.
  3. 03Sitemap and internal architecture evidence.
  4. 04Metadata, hreflang and structured-data declarations.
  5. 05Observed technical findings with provenance.
  6. 06Cross-signal root-cause hypotheses only where the evidence supports them.

Workspace

Dashboard

The Dashboard is the workspace overview. Use it to orient yourself, see current technical state and move into the evidence that needs attention.

  1. 01Treat summary cards as navigation and prioritization signals, not substitutes for the underlying report.
  2. 02Open the relevant audit when you need page-level or finding-level evidence.
  3. 03Use Portfolio for cross-site attention, Watchboard for history and Monitoring for reference signals.

Cross-site intelligence

Portfolio

Portfolio orders observed sites by technical attention. The current scoring model weights Health deficit at 30 points, observed Health decline at 20 and latest finding severity at 50.

  1. 01Sites are ordered by technical attention, not by business value or revenue importance.
  2. 02If Health or comparison evidence is missing, SiteOptima widens the score into a range instead of inventing precision.
  3. 03Use Exact scores vs Evidence ranges to understand whether the ranking is precise or bounded.
  4. 04Portfolio supports CSV and PDF export from the current interface.

History

Watchboard

Watchboard groups completed audit history by site and shows how Health Score and supporting evidence move over time.

  1. 01Each site shows latest Health Score, delta, coverage, confidence and latest finding count when available.
  2. 02Trend labels are Improved, Declined, Stable or Unknown based on persisted comparable history.
  3. 03The visible timeline contains up to 20 recent completed audits per site.
  4. 04Open Latest report for the deliverable or Audit evidence for the operational audit view.

Reference monitoring

Monitoring

Monitoring is currently a reference command center built from persisted audit history. It is not a saved scheduler or background alerting service.

  1. 01The current visible reference cadence is 168 hours (7 days) from the latest completed audit.
  2. 02A Health Score drop signal is raised when comparable scores fall by 5 points or more.
  3. 03A first completed audit establishes history; two comparable numeric Health Scores are required for a score-change signal.
  4. 04DUE means the 7-day reference cadence elapsed. It does not queue or schedule an audit.
  5. 05Monitoring does not currently send email, Slack, webhook, ticket or other notifications.
  6. 06Run new audit manually when you want fresh evidence.

Understanding results

Health Score is a decision-support signal

Health Score summarizes available technical evidence. It is not proof of rankings, indexation, traffic, conversion, revenue, compliance or security. In the current Reports UI, scores are labeled Excellent at 90+, Good at 75–89, Needs attention at 50–74 and Critical below 50.

When comparing audits, use like-for-like scope and inspect the underlying findings, coverage and confidence. A score movement alone does not prove what caused the change.

Deliverables

Reports, exports & lifecycle

Reports are generated from completed audit evidence. The library supports search, status/health filters, sorting and three lifecycle views: Active, Archived and Trash.

Lifecycle behavior

  • • Archived audits retain reports, evidence and exports and can be returned to Active.
  • • Trash excludes the audit from reports, exports and workspace metrics.
  • • Trashed audits can be restored or permanently deleted after explicit confirmation.

Fix Verification & re-audits

Verification compares a current completed audit with prior saved audit evidence when the scopes are comparable. It is designed to distinguish resolved findings from issues that remain, change or cannot be verified from the available evidence.

  1. 01Implement the remediation outside SiteOptima.
  2. 02Run another comparable audit for the same site.
  3. 03Open Verification to review resolved, persisted, changed, unverifiable and new current findings where available.
  4. 04Do not treat an unverifiable result as fixed; it means the evidence needed for a confident comparison is missing or not comparable.

Workspace

Account

Account displays the signed-in identity, email-verification state, workspace decision, organization and subscription/access state that SiteOptima is currently using.

  1. 01Use Account to confirm whether the email is verified and the account is active.
  2. 02Workspace access and billing availability are separate decisions and may have different states.
  3. 03The product intentionally does not expose Stripe customer, subscription or price identifiers in the customer-facing workspace.

Subscription

Billing

Billing shows the current plan associated with the workspace, included features, quota values, billing period and available subscription-management actions.

  1. 01Plan access states defined by the product are Active, Trial, Grace, Suspended and Ended.
  2. 02Payment-provider identifiers stay protected and are not shown in the workspace.
  3. 03Use Pricing to compare public plans; use support for a payment or activation mismatch.
  4. 04Never send card numbers, API keys or Stripe secrets to support.

Safety

Security basics

SiteOptima separates authentication, email verification, commercial activation and workspace authorization. Keep credentials and one-time links private.

  1. 01Use a unique password of at least 14 characters.
  2. 02Verify that you are on siteoptima.app before entering credentials.
  3. 03Treat verification and password-reset links as private.
  4. 04Report suspicious account behavior to support@siteoptima.app.

Troubleshooting

What to check before contacting support

I did not receive a verification email

Check spam/promotions, confirm the address entered, then use Resend verification. The public response intentionally does not reveal whether an email is already registered.

I verified email but cannot open the workspace

Email verification is only the identity gate. Check Account/Billing state and complete commercial activation if required.

I returned from Stripe but access is not active

The browser return does not grant access. SiteOptima waits for a trusted signed provider event and persisted subscription state. Retry after a short refresh; if it remains blocked, contact support.

My audit will not start

Confirm the URL is publicly reachable, the requested page count is within the active plan limit, and no entitlement/access restriction is blocking audit execution.

Monitoring says baseline/comparison unavailable

One completed audit is not enough for Health Score movement. Complete another comparable audit for the same normalized site.

Monitoring says Due

Due only means the visible 168-hour reference cadence elapsed. It does not mean an audit has been scheduled.

A report/export is missing

Most specialist exports depend on completed audit evidence and, where applicable, the active plan feature. Confirm the audit is completed and not in Trash.

A Health Score changed

Inspect findings, scope, coverage, confidence, Change Intelligence and Verification where available. Do not infer business impact from the score movement alone.
